Zoho Books
Zoho stays the customer file. Other systems exchange only what the process needs: the call on the record, the payment on the invoice, the store order on the stock. We do not copy an entire database "just in case".
Links we put in place
- Phone: the call and its outcome land on the CRM contact or deal, instead of a separate log.
- Payments: the terminal or the online payment is matched to the Books invoice, so collections are not a side spreadsheet.
- External accounting: if the official books stay outside Zoho, we pass the documents that matter, without letting Books and the other ledger both be "the" truth.
- Online store: orders and quantities between the site and Inventory or Books.
- Field work: the FSM estimate creates the CRM quote on the same opportunity. When the work order opens, the customer's open Books balance is visible to the team on site.
- Suppliers: the purchase order leaves Zoho, without a second entry on the supplier side.
- A homegrown application: when no connector exists, a Python bridge carries the few fields the process needs, with an error log instead of a silent failure.
- Zoho Catalyst: a web application (interface and API) hosted on Catalyst, with its own data, scheduled jobs, and access by role, when a CRM or FSM screen cannot carry the work.
What we need to start
A test account on each side, API access that is actually authorized, and one person on your team who decides the edge cases (a payment with no invoice, an order with no stock, a call with no record). The link is delivered for that scope, not for a catalog of events.
